CollegeScoutHQ LLC (“CollegeScoutHQ,” “we,” “us,” or “our”) provides college-search, athletic recruiting, college-matching, roster-information, outreach-tracking, recruiting-pipeline, communications, subscription, and related services through collegescouthq.com and associated websites, applications, pages, emails, and services collectively referred to as the “Services.”

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information. It also explains the choices and rights that may be available to users.

By using the Services, you acknowledge the practices described in this Privacy Policy.

This document is provided for transparency and does not constitute legal advice.

1. Who May Use the Services

The Services are intended for student-athletes who are at least 13 years old and for their parents or legal guardians.

The Services are not intended for children under 13. We do not knowingly collect personal information online from children under 13. If we learn that a child under 13 has provided personal information, we may suspend the account and delete the information.

Users under 18 may use the Services only with the permission and supervision of a parent or legal guardian. A parent or legal guardian must authorize purchases made for a minor.

Parents and guardians may contact us to request access to, correction of, or deletion of a minor’s personal information.

2. Personal Information We Collect

The information we collect depends on how a person uses the Services.

A. Account and Contact Information

We may collect:

  • Name
  • Email address
  • Telephone number
  • Password or authentication credentials
  • Parent or guardian name and contact information
  • Account type
  • Communication preferences
  • Beta-access or invitation information

B. Athlete and Recruiting Information

We may collect information supplied by an athlete or parent, including:

  • Sport
  • Position, event, or athletic role
  • Graduation year
  • Current school or club
  • Athletic measurements, statistics, accomplishments, and experience
  • Highlight-reel, profile, statistics, or recruiting links
  • Profile photographs
  • Academic interests
  • Intended major
  • Grade-point average or academic range
  • Preferred college divisions
  • Geographic and college preferences
  • Saved schools
  • Recruiting status
  • Notes concerning schools, coaches, calls, visits, emails, or other interactions
  • Tournament schedules and game information
  • Information submitted for a custom recruiting website

Users should not submit Social Security numbers, government identification numbers, medical records, financial-aid login credentials, account passwords, or other information that is not reasonably necessary to use the Services.

C. Subscription and Transaction Information

When a user purchases a subscription or service, we or our payment processor may collect:

  • Billing name and address
  • Payment method
  • Transaction amount
  • Subscription type
  • Purchase and renewal dates
  • Payment status
  • Limited payment identifiers, such as the last four digits of a card

Payment-card information may be collected and processed directly by a third-party payment processor. The processor’s handling of payment information is governed by its own privacy policy and contractual obligations.

D. Communications and Support Information

  • Club or team inquiries
  • Elite website inquiries
  • Emails and other communications with us
  • Feedback, surveys, and account-related correspondence

E. Device, Usage, and Technical Information

  • Pages viewed

We do not intend to collect precise GPS location unless we provide a separate notice and obtain any consent required by law.

F. Outreach and Tracked-Link Information

Users may generate unique or tracked links and send those links to coaches or other recipients. When a recipient accesses one of these links, we may collect:

  • The tracked-link identifier
  • The date and time of access
  • IP address
  • Browser and device information
  • Referring page, when available
  • Approximate location derived from the IP address
  • Whether and how often the link was accessed
  • The coach, school, or recipient label assigned to the link by the user

Tracked-link information is an engagement signal and may not conclusively identify the person who accessed a link. Results may be affected by forwarded links, automated security scanners, email-security systems, bots, shared devices, network configurations, browser restrictions, and privacy tools.

G. Information from Public and Third-Party Sources

We may collect information from publicly available or licensed sources, including:

  • College and university websites
  • Athletic department websites
  • Public team rosters
  • Public coaching directories
  • Conference and association websites
  • Public tournament or event information
  • Publicly available academic and institutional information
  • Third-party data and technology providers

Public or third-party information may be incomplete, delayed, or inaccurate.

3. How We Use Personal Information

We may use personal information to:

  • Create and manage accounts
  • Provide free and paid Services
  • Generate college-fit recommendations and other personalized results
  • Estimate potential roster needs or openings
  • Help users organize school lists and recruiting pipelines
  • Generate, deliver, and measure outreach links and communications
  • Build and host recruiting websites at a user’s request
  • Process subscriptions, renewals, payments, refunds, and cancellations
  • Authenticate users and protect account security
  • Respond to inquiries and provide support
  • Send transactional and service-related communications
  • Send marketing communications where permitted by law
  • Improve, test, troubleshoot, and develop the Services
  • Analyze general usage and performance
  • Detect fraud, abuse, spam, security threats, and prohibited conduct
  • Enforce our Terms of Service and other agreements
  • Comply with legal obligations and lawful requests
  • Protect the rights, safety, and property of CollegeScoutHQ, our users, and others

4. Artificial Intelligence and Automated Analysis

CollegeScoutHQ may use automated systems, statistical models, and artificial-intelligence technologies to analyze user-supplied information and publicly available college or roster information.

These systems may generate:

  • College-fit rankings
  • Explanations, advantages, and disadvantages
  • Roster-opening estimates
  • Draft communications
  • Suggested follow-up actions
  • Other recruiting-related insights

AI-generated results are estimates and informational tools. They are not decisions or statements made by a college, coach, admissions office, athletic conference, or governing body. They do not guarantee admission, recruitment, playing time, roster availability, scholarships, financial aid, coach interest, or any other outcome.

Information submitted to an AI-powered feature may be processed by technology providers acting on our behalf. We contractually limit service providers’ use of personal information where reasonably practicable.

5. How We Disclose Personal Information

We may disclose personal information as described below.

A. Service Providers

We may use companies that provide:

  • Website and cloud hosting
  • Data storage
  • Account authentication
  • Payment processing
  • Email delivery
  • Customer support
  • Security and fraud prevention
  • Analytics
  • Artificial-intelligence and model-processing services
  • Website development and maintenance

These providers may process information only as necessary to provide services to us and subject to applicable contractual obligations.

B. At the User’s Direction

We may disclose information when a user directs us to:

  • Publish an athlete profile or recruiting website
  • Send information or links to a coach
  • Share information with a parent or guardian
  • Associate an account with an approved club or team
  • Connect to a third-party service

A user is responsible for reviewing information before making it public or sending it to another person.

C. Parents and Guardians

For an account belonging to a minor, we may provide a verified parent or legal guardian with access to account information or the ability to manage or delete the account.

D. Clubs and Teams

When an athlete or parent affirmatively associates an account with a club or team, limited information may be available to authorized club administrators as described at the time of connection or under a separate club agreement.

Club access does not replace required parent or guardian permission.

E. Legal, Safety, and Compliance Disclosures

We may disclose information where reasonably necessary to:

  • Comply with law, regulation, subpoena, court order, or legal process
  • Investigate fraud, abuse, harassment, spam, or security incidents
  • Enforce our agreements
  • Protect the safety and rights of users, CollegeScoutHQ, or others
  • Establish, exercise, or defend legal claims

F. Business Transactions

Information may be disclosed in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar business transaction, subject to appropriate confidentiality protections where practicable.

6. Sale and Targeted Advertising

CollegeScoutHQ does not sell personal information for money.

CollegeScoutHQ does not share personal information for third-party cross-context behavioral advertising.

If our practices change, we will update this Privacy Policy and provide any notice, consent, opt-out mechanism, or universal opt-out recognition required by applicable law.

We do not knowingly sell or share for targeted advertising the personal information of users under 18.

7. Public Profiles and Recruiting Websites

Some features may allow an athlete or parent to create a coach-facing profile or public recruiting website.

Before publishing information, users should understand that:

  • Public information can be viewed, copied, indexed, saved, or redistributed by others.
  • Search engines or archival systems may retain copies after information is removed.
  • Public visibility does not guarantee coach engagement or recruitment.

For athletes under 18, public profile or website publication requires parent or guardian approval.

Users should not publish:

  • A home address
  • A complete birth date
  • Personal account credentials
  • Government identification numbers
  • Private medical information
  • Highly specific daily routines
  • Information that creates an unreasonable safety risk

8. Cookies and Similar Technologies

We may use cookies, local storage, pixels, and related technologies to:

  • Maintain login sessions
  • Remember settings
  • Protect account security
  • Measure performance
  • Understand feature usage
  • Diagnose errors
  • Support tracked-link functionality

Browser settings may allow users to block or delete cookies. Blocking essential cookies may prevent portions of the Services from functioning.

9. Marketing Communications

Users may unsubscribe from promotional CollegeScoutHQ emails through the unsubscribe link in the message or by contacting us.

Even after a user opts out of marketing communications, we may continue to send necessary transactional messages concerning the account, payments, security, service changes, or legal notices.

10. Data Retention

We retain personal information only for as long as reasonably necessary to:

  • Provide the Services
  • Maintain an active account
  • Complete transactions
  • Resolve disputes
  • Enforce agreements
  • Protect security and prevent fraud
  • Meet legal, tax, accounting, and compliance obligations

Retention periods vary based on the type of information and the reason it was collected.

When an account is deleted, some information may remain temporarily in backups or security records. We may retain deidentified or aggregated information that cannot reasonably be linked to an individual.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.

No storage or transmission system is completely secure. We cannot guarantee that unauthorized persons will never defeat our safeguards.

Users are responsible for maintaining the confidentiality of passwords and immediately notifying us of suspected unauthorized account access.

Depending on a user’s location and applicable law, the user may have the right to:

We may need to verify the requester’s identity. A parent or guardian requesting information concerning a minor may be required to verify both the adult’s identity and relationship to the minor.

Authorized agents may submit requests where permitted by law, but we may require proof of authority.

We will not discriminate against a user for exercising applicable privacy rights.

13. State-Specific Disclosures

Residents of certain states may have additional privacy rights.

Where applicable, CollegeScoutHQ will process requests to access, correct, delete, or obtain a copy of personal information and requests to opt out of qualifying sales, targeted advertising, or profiling.

CollegeScoutHQ does not currently sell personal information or share it for third-party behavioral advertising.

14. Third-Party Websites and Services

The Services may link to colleges, athletic departments, highlight platforms, social networks, payment processors, and other third-party websites.

CollegeScoutHQ does not control and is not responsible for the privacy, security, content, or accuracy of third-party services. Users should review the third party’s policies before providing information.

15. United States Service

The Services are operated from the United States and are primarily intended for use in the United States.

Information may be stored and processed in the United States and other locations where our service providers operate. Those locations may have different privacy laws from the user’s jurisdiction.

16. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to our Services, practices, vendors, or legal obligations.

We will post the updated policy with a revised “Last Updated” date. Where required, we will provide additional notice or obtain consent before a material change takes effect.
